Outback Pool & Spa Services ("we", "us" or "our") operates this website. This policy explains what personal information we collect through the website, how we use it, and how you can contact us about it.
This is a practical website policy describing how this website actually works — it is not a substitute for formal legal advice, and does not itself determine every legal obligation that may apply to our business.
We handle personal information in line with the Australian Privacy Principles as a matter of good practice, regardless of whether the Privacy Act 1988 (Cth) formally applies to a business of our size.

We collect personal information you provide directly to us, primarily through the Request Service / Contact form on this website. Depending on what you choose to tell us, this may include:

- Mobile number and/or email address
- Service address (the location the enquiry relates to)
- Your preferred contact method and preferred contact time
- The type of service you're enquiring about, and related details you provide (e.g. pool type, equipment type, description of the issue)
- Any additional description or access notes you choose to include
- Photographs you choose to upload with your enquiry
Service Enquiries
When you submit the Request Service form, the information you provide is used to understand and respond to your enquiry. Your service address is collected to understand where the requested work relates to and to help arrange the service — we do not use it for location tracking, and this website does not collect your device's GPS location.
Depending on your preferred contact method, we may use your mobile number (call or SMS) or email address to get in touch with you about your enquiry.
Photographs and Uploaded Files
You may optionally attach up to five photographs to a service enquiry — for example, of a pool, equipment or the surrounding area — to help us understand the job. Photos are validated for file type and size before submission.
Uploaded photographs are sent, together with the rest of your enquiry, to our business as part of the enquiry notification. They are not published to this website, added to our Projects page, or used for any purpose beyond assessing and responding to your enquiry, without your separate, explicit permission.
We do not currently operate separate long-term file storage for uploaded photographs — a formal retention period for enquiry photographs has not yet been finalised and will be confirmed as part of our operational and legal review before this feature is used with real customer submissions at scale.
How We Use Information
We use the personal information you provide for purposes including:
- Responding to your service enquiry
- Understanding the pool, water or equipment issue you've described
- Contacting you using your preferred contact method
- Arranging and carrying out the requested service
- Maintaining the security of this website and preventing spam or abusive submissions
- The general technical operation of this website
Marketing
We do not use information submitted through the Request Service form for marketing purposes, and submitting an enquiry does not opt you in to any marketing communications. If we ever introduce optional marketing communications, this would involve a separate, clearly explained consent step — not something bundled into a service enquiry.
Service Providers
We use a small number of third-party services to operate this website and deliver enquiries. Depending on which are configured at any given time, these may include:
- A website hosting / infrastructure provider, to make this website available online
- A transactional email delivery service, used to send your enquiry to our business and, where applicable, a brief acknowledgement to you
- Google's Places API, used only to display our public Google rating and a small selection of Google reviews on this website (see "Google Services" below) — this is separate from, and does not involve sending, your Contact-form information
Google Services
This website displays our business's public Google rating and a selection of Google reviews, retrieved from Google's Places API. That review content — including reviewer names, profile photos and review text — is supplied by Google and reflects what reviewers have chosen to make public on Google, not information you provide to us.
Viewing this content does not send any information from our Contact form to Google. Links to "See our reviews on Google" or a reviewer's profile will take you to Google's own website, which has its own separate privacy policy.
Data Storage and Security
We take reasonable steps to protect the personal information handled through this website from misuse, loss and unauthorised access. No method of online transmission or storage can be guaranteed as completely secure, and we cannot promise absolute security.
Data Retention
We retain enquiry information for as long as reasonably necessary to respond to and follow up your enquiry. A detailed, formal retention schedule has not yet been finalised for every category of information collected through this website (including uploaded photographs) — this is intentionally flagged here as an item for owner and, where appropriate, professional review before the site handles enquiries at scale.
Access, Correction and Complaints
You can ask us what personal information we hold about you, and ask us to correct or delete it, by contacting us using the details below. We will respond to reasonable requests within a reasonable time.
If you have a concern about how we've handled your personal information, please contact us directly first so we can try to resolve it. Depending on applicable law, you may also be able to raise a concern with the Office of the Australian Information Commissioner (OAIC).
